Group content sharing

PMG Club lets you share your own content with a user group that an administrator has assigned you to. Sharing works across the Presentation Builder, Smart Presentation and Q-Live events.

How it works in a nutshell

  1. The administrator adds you to a group (e.g. "Mo.one team")
  2. The group has capabilities configured — what members can share (Builder / Smart / Q-Live) and which restricted templates they can see (e.g. the Mo.one theme in Builder)
  3. You, as the owner of your content, click "Share" and choose a group → all members of that group see the document in their "Shared with me" section

Sharing does not transfer ownership — you can revoke it any time, change permission (view ↔ edit), or share with additional groups.

Who manages groups

Always the administrator. Users cannot create groups or modify membership. If you want:

  • to be added to an existing group (e.g. to get access to the Mo.one template) → ask the administrator
  • to create a new group for your team → the admin will create it and add members

This restriction is for security — while the system is in early testing we want explicit control over who can share with whom.

Sharing in Presentation Builder

As the owner (sharing a project)

  1. Open the project in Builder
  2. In the top bar click Share (next to Publish)
  3. The dialog shows groups eligible for sharing (only those with Builder sharing enabled)
  4. For each group choose:
    • View — members see the presentation but cannot edit
    • Edit — members see it and can edit (autosave works)
  5. The trash icon revokes the share; the View/Edit toggle changes the permission

As a group member (shared with me)

  1. Open /tools/builder — below your own projects you see a "Shared with me" section
  2. Each card has a view or edit badge plus "From author · group X"
  3. Clicking opens the presentation in the editor

Edit lock — one editor at a time

If you have edit access to a shared presentation, the rule is one editor at a time:

  • When you open the project you automatically "take" the lock (heartbeat every 30 s)
  • A second member opening the same project sees a banner at the top: "Editing: Your name (last active 12 s ago)" + a Take over editing button
  • If the second member clicks the button, you lose the lock (within 15 s the UI signals this) — you can phone/chat with them, but your edits after the takeover will not save
  • If the first editor is inactive > 60 s (closed the browser, lost signal), the lock is marked stale (orange) and the second member can take it over without conflict

Practical tip: for a shared presentation, coordinate manually who edits when. The lock prevents accidental clashes but does not replace real coordination.

Read-only (view permission)

If you have view access, you can open the presentation but:

  • Save does not work (RLS rejects it)
  • A banner reads "Read-only — you only have view access"
  • You can view / present / read notes but nothing will be saved

Sharing in Smart Presentation

Smart Presentation has no traditional editor (it's generated from an AI prompt), so:

  • Sharing for view and edit works the same as in Builder
  • No edit lock — Smart presentations are not edited in real time
  • "Editing" today means "publish to feed" or "regenerate" — permission=edit allows those, view does not

Steps

  1. Open the Smart presentation at /tools/presentations/{id}
  2. Click Share (only available to the owner)
  3. Pick a group + permission

Members see the presentation under /tools/presentations in the "Shared with me" section + an info banner "Shared by author · group X" when opening the detail.

Sharing in Q-Live

Q-Live has two parallel mechanisms:

Per-user member takes precedence. If you are both an event team member (say co_host) and a member of a group with a share, the team membership counts (more specific role).

Steps for the owner

  1. Open the event at /tools/qlive/{id}
  2. Find the Group sharing section (below the "Team" section)
  3. Click Manage → ShareDialog
  4. Pick a group + permission:
    • View → members see stats + Q&A read-only (analyst role)
    • Edit → members can moderate Q&A but not polls/branding (moderator role)

Steps for a group member

  1. Open /tools/qlive — besides your own events and per-user-shared events you see a section "Shared with me (via group)"
  2. Click an event → it opens according to your role (analyst = read-only stats; moderator = can moderate Q&A)

FAQ

What if I want to share with a different group that doesn't appear in ShareDialog? → Either the admin hasn't added you to that group, or that group does not have this tool's sharing enabled (the admin must check it in the capability matrix). Reach out to the admin.

What happens to a shared presentation if I delete it? → It is deleted for every member of the group as well. No copies remain.

Can group members share the document onwards? → No. Only the document owner can share. If a member wants to "forward" a document to someone else they need to ask the owner to share with another group, or clone the document (if they have edit permission and want their own copy).

What happens if the admin removes me from the group? → You lose access to its shared documents immediately (RLS decides on the next fetch). If you have a document open, autosave will fail and you will see an error.

How does the admin see how much is being shared? → At /admin → User groups → Sharing activity there is a dashboard: shares per tool, top sharers (30 days), active edit locks with a force-release button, the last 50 shares tagged "who → whom". The admin sees only metadata, never content.

Can I release the lock manually in Builder? → Just close the project. The lock will auto-release (heartbeat stops, another member can take it within 60 s). If you want to keep the project open but hand the editing to a colleague, ask them to click "Take over editing" in the banner.

What about plans? → Sharing does not depend on the plan. The group is an orthogonal layer above billing. Every member pays their own plan, uses their own credits, has their own AI limits. The "can share" capability is currently set manually by the admin (in the future it will likely be conditioned on the Premium Business tier).
